Email archiving plays an integral role in the grand picture of contact list management. Companies that are involved in email marketing have to be able to retain all email communications sent and received—a task much easier said than done, especially for those marketers whose list of contacts extends into the thousands. But what is the importance of keeping all those email messages, and why should they be archived?

Why Archive?
Email archiving is critical to reducing a company’s storage burden. Un-archived email messages can take up a lot of room on a company’s server, and in order to be able to economize space without simply deleting years and years’ worth of electronic communications, they have to be archived in a manner that will allow them to be accessed again in the future.

What’s the Point of Saving All Those Messages?
That answer is simple—for regulatory compliance and legal protection. Businesses that engage in bulk email campaigns have to comply with a number of federal regulations that are put into place to protect consumers. Email archiving is critical to this aim, as it gives easy access to all past communications in the event they’re needed for regulatory audits. Having all communications stored and available at a moment’s notice is also important to effective web contact management in that it can offer protection for your company against lawsuits from customers who may falsely claim you violated their email privacy rights.
